Position Title: Executive Administrator Assistant (CFO) OPEN UNTIL FILLED

Position Purpose: This position is an executive coordinator for the Senior Vice President and Chief Financial Officer, provides full administrative support to the Controller, Treasury, and Risk & Insurance divisions of the Financial Services Department, and assists management with special projects as assigned.
Essential Functions: • Work effectively on a cross-functional basis with colleagues of varying seniority. • Work with and prepare confidential information and maintain the discretion of such material. • Coordinate the activities of the CFO and Financial Services Department, including the scheduling of Board committee meetings, business activities, and travel arrangements. • Provide administrative support to the CFO and the Controller, Treasury, and Risk & Insurance divisions of the Financial Services Department, including preparation of meeting minutes, assistance with presentation development, and preparation and distribution of correspondence. • Support the Controller division with preparation of financial statements, audit activities, and accounts payable administration. • Support the Treasury division with debt compliance activities and the Risk & Insurance division with insurance program requirements. • Proficiency and adaptability with technology and the ability to process, organize, and maintain information across multiple technology platforms. • The ability to adapt to a dynamic environment and complete responsibilities in a timely manner. • Assist management with special projects as assigned. • This position works on a large variety of special projects, often independently with only general instructions. • The incumbent communicates management’s instructions to various individuals and obtains information from other executives or outside representatives. • This position’s major challenge is ensuring the smooth operation of the Financial Services Department under the pressure of frequent interruptions, time constraints, and changes in priorities. • This position has authority to coordinate department administrative activities, planning and expediting the flow of work in the office, and solving office problems. This position requires discretion and independent judgment. Only situations requiring special attention are referred to the manager.
Qualifications: To perform effectively in this position, the incumbent must have an in-depth knowledge of secretarial and administrative support functions for an organizational unit at a level acquired through the completion of a two-year degree in administrative assistance or a related field, and five years of related administrative assistance experience; or a high school diploma or equivalent (GED or HSED) and seven years of related administrative assistance experience. The incumbent must have the ability to work with minimal supervision, and must possess excellent interpersonal skills, typing skills, organizational skills, good written and verbal communications skills, proficiency with personal computer operations and Microsoft Word, PowerPoint, Outlook, and Excel.
Typical Physical/Mental/Environmental Demands: This position requires the ability to remain in a stationary position and to move about the office building, occasional reaching below and above shoulder level, constant use of keyboard/computer and other office productivity machinery, bending, kneeling, lifting/carrying up to 10 pounds, and pushing/pulling up to 20 pounds. It also requires finger dexterity and hand coordination. This position requires the ability to communicate and must be able to clearly exchange accurate information. It also requires the ability to develop plans, procedures and goals; present information to others; and work under stress to complete projects within deadlines.
